Log into www.romanreference.com and use the search engine for your selected dates. You will get a list of available or tentatively available apartments in Rome. Click on 'Book' and fill out the submission form. If the apartment you have chosen is an 'Instant Booker' you'll be enabled to pay online and complete the booking on the spot. If the apartment is 'On Request', upon reception of your submission the website will automatically request formal confirmation of availability to the apartment's owner. He/she has to provide formal confirmation within 48hrs. If you don't want to wait you can contact our customer service at info@romanreference.com and ask them to cancel your booking and offer you a list of options which already confirmed availability for your dates.
Bookings are made through www.romanreference.com. 'Instant Booker' apartments can be booked online attending the automated step by step procedure. 'On Request' apartments can be paid and booked only as soon as the apartment's owner formally confirms availability. After payment you will receive an email confirmation voucher that you can print and bring with you to your apartment in Rome. The booking is considered secured upon receipt of the deposit which can be paid online by credit card or offline by bank wire. Depending on the owner, the balance can be paid in advance by bank wire at least one month before check in or only in cash EURO - no travelers' checks - upon arrival at the apartment. If you choose this option please make sure to have the full amount with you in cash, the keyholder checking you in is not expected to assist you changing the money or the travel checks nor is he/she allowed to give you the keys before payment.
A booking is considered secured upon receipt of the down-payment.
You can ask transportation to our office or find your own way to the apartment. If you choose to use the car service a driver will collect you right after baggage claim and take you to the apartment where the key-holder will let you in. This service will make your arrival procedure easier in many ways, but will cost you just short of the double than just taking a taxi. Upon arrival at your Rome apartment, if you fail to see the key-holder, please buzz the door bell indicated on your confirmation voucher or call him. The key-holder will reach you and lead you to the rented apartment, he/she will show you how everything works, will give you informative sheets, he/she (NOT the driver, chauffeurs are not entitled to take any payments) will get the balance and give you a receipt and the keys.
If you prefer to find your own way by taxi or train you will be expected to call the keyholder or our office - (+39) 0648903612 (Mon/Fri 9,30am to 1,30pm - 2,30pm to 5,30pm), mobile (+39) 3486901745 - right before you leave the airport to set an appointment at the apartment.
Claim your baggage and decide your mode of transportation to the center. If you're coming by train from the airport only call after you know the departure time. If you're coming by taxi (attending the last ruling it should cost you a flat fee of 40- Euro from Fiumicino and 30- euro from Ciampino), please call only when ready to leave. We have been repeatedly reported of taxi drivers trying to overcharge, always make sure they are licensed and take note of their license number, insist to be taken right in front to the building so that you can ask assistance to our agent if needed.
If you travel with an international mobile telephone it would be helpful that you provide us with the number.
Check-in time is noon, check-out time is no later then 10am. If you're planning on arriving or leaving in different times then the above, please make sure to add that piece of information when placing the booking.The check-in appointment is very important. We need to know your arrival details at least one week prior to your arrival in Rome. We ask that you contact the key-holder immediately should there be any itinerary change or delays to your trip to Rome, please also note our office # +390648903612 (Mon/Fri 9,30am to 1,30pm - 2,30pm to 5,30pm) or mobile +393486901745. It may not be easy to re-arrange check in times. A message in the answering machine at closing hours or an email may not be heard or read in time, please make sure to talk with somebody in person. No refund will be made if the guest is unable to occupy the apartment the correct day or time for his or her own failing to attend the check in procedure and communicate any change of travel plans.
You're free to check in on any day of the week.
When you have completed your search and you know that your chosen accommodation is available, you will be asked to secure your booking with a down payment equivalent to 30% of your rent. This payment reserves your apartment and removes it from our website search results for your chosen time frame.
Your down payment applies solely to your rent, no hidden fees.
You can pay it by Credit Card online or by providing us the cc number to be charged manually, Bank Wire or PayPal. Costs of money transfers, if any, will be on sender's charge.
The Balance can be paid either in cash Euro upon arrival at the apartment after check in is completed or by bank wire at least one month prior to arrival. No other payment methods are accepted for the balance.
Upon check in you will be required to pay a damage deposit equal to half of the rent. This deposit is meant to guarantee that you will take responsibility for any damages to your apartment in Rome.
If you are renting for less than 4 weeks and don't want to pay this amount in cash, most apartment owners will accept a signed credit card slip which will not be charged unless the apartment or its furniture are damaged, a tiny minority of owners may require part of the deposit in cash (150 to max 300 euro), please enquire with us before arrival.
If you are renting for 4 weeks or longer most owners will require the damage deposit in cash or bank wire, this is paid back to you, minus your use of utilities, within two weeks after check out, via bank wire.
The damage deposit is not included in your rent.
www.romanreference.com can accept credit card payments while the apartment owners cannot. Therefore credit card payments are accepted only on a percentage of the rental fee generally included between 10 and 20% of the grand total. Please note that the advance deposit (30%) also includes the owner's amount, therefore, if you pay by credit card, you will be charged only on part of it, with the understanding that in case of your cancellation you will pay the difference in a second instalment. Some owners may accept PayPal or Google Checkout payments, which would make credit card payment possible, at a fee, for the rest of the payment. You may want to enquire when placing your booking.
VAT stands for Value Added Taxes and its cost is included in the final amount indicated on your search results. VAT is a system of taxing used all over Europe. You will not be charged any additional VAT or other taxes on top of what you read on the website search results.
Most owners will accept a bank wire for the balance if executed at least one month prior to arrival.
The rental fee you see on our internet site includes:
Gas, heating, water and electricity expenses up to a usage of an equivalent of 50- Euro at Italian energy market price attending the building meters and only for rentals shorter than 4 weeks. Any use exceeding the above allowance will be paid per unity used. You'll be instructed on how to check the meters upon check in.
All other taxes and expenses.
Check in and Check out.
Linens, towels and kitchen appliances.
Cleaning after you leave including laundry. Not including kitchen utensils and materials. You will however be expected to leave the apartment in decent cleaning conditions.
The weekly rental fee you see on our internet site does not include the following:
All outgoing phone calls or internet connection, unless otherwise noted on the apartment description.
Utility expenses exceeding 50 Euro, cost and measurement procedures are explained upon check in.
Cleaning during the stay and extra linen change.
Extra people in the apartment above the number you booked for.
Carriage service, cloak rooms, or exceptional services.
Sure! Most owners will accept bookings for a minimum of 3 nights, a few may even accept two nights bookings. Whatever shows up on your search results is available or tentatively available. However bookings are best made for at least 7 nights because the price per night falls sharply. This is because owners have many costs that do not change with the duration of your stay (cleaning, check in and out, coordination and back office costs, contract fees from other agencies, etc.).
Nightly basis is, of course, very welcome also for more than 7 nights at the discounted weekly rate and if you go over 14 nights you'll get a further discount (generally 10% on the weekly fee); over a month most owners grant very large discounts (generally 25% discount on the weekly fee). Discounts are not shown on our website, you'll only be able to notice the nightly price difference if you test the calculation inputing different dates; however rest assured, the longer you rent for, the less you pay per night.
All cancellations are subject to a minimum charge of 30% of the total rental cost. Cancellations are refundable if the property is rented to another party for the same dates at the same rate. Should the property be re-rented the advance can be used for another rental through Roman Reference in a different period or be sent back to the client, money transfer costs would be on beneficiary's charge. Cancellation during the stay, unless due to main malfunctions of assets of the apartment, are not refundable unless the property is rented to another party for the same dates at the same rate. If the new booking covers only part of the dates cancelled, refund will be in proportion.
www.romanreference.com's software guarantees no over-bookings. Still in the case of unpredictable events that would make the apartment booked unavailable, we will refund entirely the down payment or find an alternative apartment of the same or better quality and value.
The owners of the apartments and us will do all in our power to fix problems that may arise during your stay, however www.romanreference.comcannot be held responsible for problems relating the apartments since we're only acting as a website. The owner of your Rome apartment is responsible to provide you with an apartment in working order and to provide his best help in case of emergencies, however he cannot be held responsible for problems unsolvable by his action, such as adverse weather conditions, interruption in the supply of water, electricity or gas, etc.
Fixable problems that fail to be fixed by the owners or their representatives within 24hrs from the reception of your notice, will entitle you -provided you're not responsible for the arising of the problem itself- to obtain from the owner refunds ranging from 10% to 50% of the rental fee for the number of nights spent with the problem. In case of refund Roman Reference will do all in its power to claim the refund from the owner, but it is not directly responsible so your direct contact with the owner may be required.
www.romanreference.com acts as website and will not be held responsible in the following cases:
a) Negligence or omission in the services by third parties, including the apartments' owners or their representatives.
b) In the case of an act of God, an event which could not have reasonably been foreseen.
c) Theft from the apartments.
www.romanreference.com applies up to 5% discount to regular clients and up to 2,5% discount to regular clients' referrals.
Most owners also apply discounts, up to 35% for longer periods, which will be automatically calculated by our search engine. Last Minute discounts range from 5 to 35% off the base price. The length of your stay may decrease the per night fee of up to 45%. The number of People may affect the price up to a 30% difference for the same dates. Seasonal fees will affect your Rome apartment price up to a 30% of difference. All of the above will be calculated automatically by the search engine, discounts are not indicated as such, but you can simply test the calculation by changing the dates or the number of people in your search.
Vacation Rental: A Vacation Rental is an apartment furnished expressly to be rented by vacationers for their exclusive use. There is no permanent tenant living in this apartment, it is rented to people for holiday accommodations only.

Sublet: A sublet is someone's personal apartment currently vacant to be rented by vacationers for their exclusive use. A sublet will be more likely to contain tenant's personal items such as books, movies, etc. and will generally feel more like a lived in place.
First and most importantly the apartments rented through us are your exclusive use. You're not going to share the hall, the kitchen or the bathroom with anybody else than your own group or family.
As far as hotels are concerned there are two issues to be considered: Costs and Services. COSTS: Hotels in Rome average cost for one night in 2006 was 138 euro (Source: Hotel Price Index/Hotels.com). The average cost per person for one night in one of our apartments in Rome center is 42,00 euro. This cost does not include the money saved on restaurants and the extra space that you get. SERVICES: www.romanreference.com lists apartments all over the city center. The apartments are NOT located in one building, making a 'front desk' service impossible. This is another reason why making and keeping your check-in appointment is crucial. Our office stands as our service center for you, operating from 9:30am to 5:30pm, Monday through Friday. In the case of an emergency we can be reached by mobile phones, but cannot assure service after business hours. While we are here to help you enjoy your holiday, please understand this is NOT a 24hrs hotel service. Renting an apartment in Rome, is very much like renting an apartment in your hometown. Apartment related problems should be reported to us promptly and we will do our best to assist you. Our assistance cannot be immediate as we are not located in your front hall the way a hotel concierge is. In most cases the owner must be contacted first and the problem resolved through him/her.
The 'Eco-footprint' of the apartment is a ranking system by which we inform our clients about the polution standards of the apartment. A is best, B is average and C is poor. In general choosing a cathegory A will help you keep your energy costs within the allowance (if renting for shorter than 4 weeks) or spend less in utilities if renting for longer. More importantly preferring an A apartment will mean polute less for the same amount of use of appliances.
A double bed is large 1,60mt (63 inches), a full bed is 1,40mt (55 inches), a single bed is 0,80mt (47 inches). They're all 1,90mt long (75 inches). Abbreviations for Double and Single are DBL and SGL.
If the heating is independent (gas or electric) you can turn it on and off at your convenience or regulate the thermostat to your habits, if the heating is central it will depend on the building agreement. Minimum 6 hours a day, generally morning and evening, from mid November to mid March. When the heating is independent please do keep in mind that there is an allowance of use per day of roughly 8MC of gas or 20.5KWh per day of electricity, if you go over that limit you'll be charged 90c per MC or ,35c per KWh. Please enquire with keyholder upon check in for details on how to keep track of the meters.
If the water heater is gas propelled you will be able to take showers for as long as you wish, if the water heater is electric the amount of heated water is limited to the amount of hot water contained into the boiler, once finished you'll have to wait until it heats up again. Please do keep in mind that there is an allowance of use per day of roughly 8MC of gas or 20.5KWh per day of electricity, if you go over that limit you'll be charged 90c per MC or ,35c per KWh. Dial up internet means that you can connect to the internet directly from the phone line, this is the oldest and slowest of all methods for internet connectivity and requires the use of a modem. Please note: neither modem nor set up service are provided. Some of the apartments that show 'dial-up internet' on the header will also feature DSL and/or wireless. Please look for inclusion into the detailed description of the apartment. If it doesn't have DSL, it is possible to hook up to the internet by using dial up. Some computers will set up automatically some won't, please contact your internet provider and/or anybody helping you with your computer settings before leaving home to ask them clues and instructions
Should something that is included in your package be missing (linens, etc) or should something not work in your Rome apartment, please show the keyholder and/or report it to the contact numbers you've been provided with immediately. Please understand that you're renting privately owned properties and Roman Reference, as a website, cannot beware of problems until clients inform us or place their feedbacks on the website. Also please do not expect hotels standards, this is one of the main reasons why prices are so much cheaper than hotels on our website. www.romanreference.com will do all in its power to solve every problem, but some may require patience and service during holidays or after hours is not granted. For emergencies you should always rely on the apartment owner and/or his agent/keyholder.
